How do I stop losing orders in my WhatsApp chats?
Take an order without losing track
Write the order down once, then let OrderDesk send the confirmation, send the reminder, and tell you what is due tomorrow.
A cake order arrives as six messages spread over two days. The date is in one, the flavour is in another, the advance is a screenshot, and the delivery address is a voice note. Three weeks later you are scrolling back through all of it trying to work out whether she paid.
The fix is not a better filing system. It is writing the order down once, in the moment, and letting everything after that come from what you wrote.
Write it down once
When the order is agreed, tap New order: who it is for, their WhatsApp number, the date, what they want, the price, and any advance they have paid. Thirty seconds, while you still have the chat open.
Send the confirmation
Tap the confirmation message and OrderDesk writes it for you — with the date, the total, what they have paid, what is left, and your payment details already in it:
Assalam o Alaikum Noor! Your order with Layla’s Cakes is confirmed for Saturday, 12 September 2026. Total: AED 320. Advance received: AED 100. Balance: AED 220. You can send it via Bank transfer AE07 0331 2345 6789 0123 456 (Layla’s Cakes) — or cash on delivery, whichever is easier. JazakAllah! It opens in WhatsApp as a draft. Read it, change anything you like, then send. OrderDesk never messages your customers by itself.
Let the reminder do the remembering
The day before, the order shows up under Tomorrow, and there is a reminder ready to send:
Assalam o Alaikum Noor! A reminder from Layla’s Cakes: your order is scheduled for Saturday, 12 September 2026. Balance due: AED 220. See you soon! This is the message that stops the 8am phone call asking whether you remembered.
Tell them it’s ready
When it is done:
Good news Noor! Your order from Layla’s Cakes is ready. Balance due on delivery: AED 220. You can send it via Bank transfer AE07 0331 2345 6789 0123 456 (Layla’s Cakes) — or cash on delivery, whichever is easier.Record the payment, not just the delivery
When she pays, record it. This is the step everyone skips, and it is the one that makes the difference — because it is what turns “I think everyone has paid” into a number you can actually look at.
The evening summary is the real habit. Every evening, one email: what is due tomorrow, and who still owes you money. You stop keeping the whole week in your head.
What you stop doing
- Scrolling back through chats to find a date
- Typing your account number into WhatsApp for the hundredth time
- Working out a balance in your head while a customer waits
- Finding out on the day that two orders are due, not one
