Record part-payments, see who still owes you, and send a reminder that already has your payment details in it.
Nobody starts a baking business because they enjoy asking people for money. So the balance sits there, and a week later you are not certain enough to ask — was it AED 220, or did she send something in between?
Most unpaid balances are not people refusing to pay. They are people who forgot, being chased by someone who is not quite sure.
Record every payment as it lands
Advance, part-payment, the rest on delivery — record each one on the order. The balance updates itself. You never work it out again, and you are never unsure.
Look at one number
Your home screen shows unpaid balances across every order — the ones still coming up and the ones already delivered. For most sellers this number is larger than they expected, and that alone is usually worth the ten minutes of setup.
Work the follow-up list
Orders you have delivered but not been paid for appear under Follow up, with how many days it has been. This is your list. It is usually short, and it is usually money you had stopped counting on.
Send the reminder
Tap the reminder button on the order:
Assalam o Alaikum Noor, a gentle reminder that a balance of AED 220 is pending for your order (Saturday, 12 September 2026). You can send it via Bank transfer AE07 0331 2345 6789 0123 456 (Layla’s Cakes) — or cash on delivery, whichever is easier. No digging, no arithmetic, and it stays polite because you did not have to write it while annoyed.
It is a draft, not a send. The message opens in WhatsApp for you to read and change. OrderDesk never messages your customers on its own — for anything.
Why the automatic message is easier
Asking for money is awkward mostly because of the wording. A message that states the amount, names the order and gives the details plainly reads as bookkeeping rather than as a complaint — and it does not sound like you have been stewing about it.
Sending it a week after delivery, every time, also stops it being a confrontation. It is just what happens next.
